Construction Isle of Man (CIOM) is the representative body for the Isle of Man’s construction industry. We work collaboratively with government, businesses, contractors, tradespeople and the public to promote and develop a sustainable, professional and well-supported sector. CIOM champions industry standards, training, membership accreditation and certification schemes while helping members connect, grow and succeed.


Role Overview

We are seeking a reliable, organised and customer-focused Administration Officer to support the smooth running of our office and key administrative functions. This is a part-time role ideal for someone with strong office administration skills who enjoys working with people, managing processes and supporting organisational efficiency.

The Admin Officer will be a central point of contact for members, applicants and the public, support basic accounts tasks and ensure accurate processing of CIOM services such as membership applications, and the issuing of the CIOM certification card scheme.


Key Responsibilities

General Office Administration

Provide high-quality administrative support to the CIOM office on a day-to-day basis.
Manage phones and email enquiries, responding promptly and professionally.
Greet office visitors, including members and prospective members.
Maintain office  systems (digital and paper-based) and any necessary documentation.

 

 

Membership & Customer Support

Process new membership applications, including data entry, queries and correspondence.
Support members with enquiries about CIOM services, events and requirements.
Maintain accurate membership records in organisational systems.

Certification & Accreditation

Administer the Construction IOM Certification Scheme, including:
Processing applications for certification and renewals.
Producing and issuing CIOM certification scheme cards.
Updating certification registers and notifying members of status changes.

Financial & Basic Accounts Duties

Process payments for membership fees, certification fees and other CIOM services.
Issue invoices and payment receipts accurately and promptly.
Pursue payments where applicable 
Support reconciliation of basic accounts records with financial documentation.
Liaise with external accountant/treasurer where required.

Board & Event Support

Provide administrative support to the Board and senior leadership, including preparing papers, minutes and correspondence.
Assist with organisation and communication for CIOM events, meetings and training sessions.

Website & Communications

Use the CIOM website and internal systems to access and input key information.
Support updates to CMS content (as required) and help maintain accuracy of online resources.
 


Person Specification

Skills & Experience

Proven administrative experience, preferably in a busy office environment.
Experience with SAGE or similar accountancy packages is desirable but not essential as training will be provided
Excellent customer service and communication skills.
Strong IT skills, including MS Office (Word, Excel, Outlook) and comfortable with web-based systems.
Experience with basic accounts tasks, invoicing and payment processing.
Good organisational ability with strong attention to detail.
